We are looking for a hardworking and organized Executive Assistant!

Based in the RACE21™ office in Vancouver, you will be in charge of all administrative support and assistance to the VP, Transformation.

The main duties will consist of calendar management, scheduling meetings and booking travel, proactively screening and evaluating correspondence, assisting in creating presentations and spreadsheets and providing effective management of the VP, Transformation’s schedule.

A high level of comfort working in a fast-pace and changing environment is crucial for this role.

Responsibilities :
  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Coordinate and maintain VP’s calendar with keen attention to detail to ensure effective management, keeping the VP on track and on-time for every meeting. Ability to identify potential problems and shifting priorities and adjust the VP’s schedule accordingly.
  • Brief VP before meetings with appropriate background information including agendas, documentation, etc.
  • Screen meeting requests, visitors, and phone calls to identify issues and determine priority.
  • Proactively screen and evaluate incoming and outgoing correspondence/e-mails, triage the highest of importance and draft responses as appropriate. Determine what information is critical and advise VP accordingly.
  • Handle e-mail, phone and written communications as requested on behalf of VP.
  • Coordinate all travel arrangements and prepare travel itineraries and agenda packages for business travel for the VP and the Chief of Staff.
  • Assist in the creation of PowerPoint presentations and Excel spreadsheets.
  • Plan, coordinate, and follow-up on details and logistics for internal and external meetings, receptions, and events.
  • Prepares general correspondence and documents.
  • Processes expense reports and for both VP and Chief of Staff.
  • Develop administration procedures, and processes to respond to the operating style of the Executive.
  • Other administrative duties including photocopying, printing presentations/reports, arranging for courier delivery and pick up, etc.
  • Co-ordinate the flow of documents, including obtaining approvals and distributing the information to business partners.
  • Manage team contact lists, org charts and time and attendance tracking, keeping all fully up to date..
  • Maintain filing system- file and retrieve corporate documents, records, and reports.
  • Perform general office duties such as ordering supplies, maintain records management systems


Qualifications :
  • Five or more years of experience in a corporate environment with three years supporting a senior leader.
  • Confirmed ability to work in a fast-past environment, with the ability to maintain composure in handling complex calendar issues with sudden meeting changes and competing priorities, as well as short notice travel bookings/changes.
  • Experience coordinating meetings across international boundaries and time zones.
  • Ability to connect with staff at a variety of levels of responsibility as well as various outside parties while maintaining consistency, integrity, and tact.
  • Strong organization and administrative skills; capable of operating independently with minimal direction, potential problems, and/or sensitive issues, etc.
  • Ability to assess sensitivity and/or confidentiality of matters and latitude for discretion.
  • Extensive technical skills in software packages such as Microsoft Word, Microsoft Teams, Power Point, Excel, Outlook, and SharePoint.
  • A minimum typing speed of 50 words per minute with excellent accuracy.
  • Decisiveness and good judgment required to effectively operate the VP Office, typically in the VP’s absence.
  • Excellent English language skills (written and oral). Spanish would be an asset.
  • Experience working in an Agile environment and/or in a High Technology or Software company is an asset.
