POSITION SUMMARY

COVID-19 Site Coordinator is responsible for all aspects of coordinating, tracking, updating, and communicating shuttle service, hotel, and camp room scheduling in connection with COVID-19.  This is a temporary position.

SAFETY HEALTH & ENVIRONMENTAL RESPONSIBILITIES AND ACCOUNTABILITIES

  • Complying with all necessary requirements put in place to prevent incidents, injuries or losses; 
  • Ensuring the safety and health of themselves and others in the workplace by being responsible for their actions and taking due care while performing their work;

  • Identifying, eliminating, and reporting hazards as soon as practicable; 
  • Reporting incidents and accidents as soon as practicable; 
  • Disclosing all information regarding incidents and cooperating in incident investigations; 
  • Assisting in the resolution of health and safety matters in a positive and timely manner; 
  • Using and maintaining PPE; 
  • Providing suggestions for improving work processes; 
  • Assisting Management by supporting change to achieve desired targets; 
  • Ensuring that plant and equipment operate within their safe working limits; 
  • Ensuring that correct equipment is used for the job; 
  • Participating in risk assessment methodology; 
  • Participating in safety initiatives; 
  • Receiving training and instruction as required; and 
  • Maintaining good housekeeping standards. 

 ESSENTIAL FUNCTIONS

  • Responsible for the accuracy of the Master Schedule which is compiled of all departmental personnel and contractors.
  • Responsible for all scheduling of Hotel & Home Quarantine, Shuttle Services and Camp Rooms.
  • Experience dealing with external service providers in the areas of transportation, and housing.
  • Prepares and distributes weekly Quarantine, Hotel, Shuttle, and Boat schedules.
  • Manage transportation for employees moving to and from quarantine to camp, camp to airport.
  • Ensures continuous accuracy of all posted Quarantine, Boat, Camp, and Master Schedule by cross-referencing multiple lists. 
  • Identify and resolve any scheduling issues or concerns
  • Primary contact with Department Management to coordinate employee schedule changes.
  • Problem solving and reconciling of the Master Schedule with multiple departmental schedules and contractor needs.
  • Troubleshoot problems as they arise and elevate concerns to the department supervisor when necessary
  • Answer Greens Creek site questions and provide assistance.
  • Provides support as needed for other facets of the COVID-19 employee process
  • Assists with other duties as assigned based on need and volume in coordination with other departmental needs 
  • Employee should be observant, organized, resourceful, independent and exercise good judgment. 

QUALIFICATIONS

Education and/or Experience

  • Associates or B.A. in accounting or related field; or equivalent combination of education and experience. 
  • Excellent observation, verbal, organizational, and written communication skills.
  • Proven proficiency in Microsoft Excel. Must be able to read and write formulas to come up with properly filtered lists 

 Experience

Two years administrative, accounting/bookkeeping experience or equivalent.

 

Training/ Special Skills

  • Proficiency in Microsoft Excel is a must.  The ability to learn new software and analyze detailed associative properties.  
  • Ability to work in a fast-paced environment.  
  • Attention to detail and logical problem-solving skills

While performing the duties of this job, employees may be frequently required to stand, walk, or sit for extended periods of time; use hand and fingers to handle or feel; reach with hands and arms; climb and balance; stoop, kneel, crouch, and crawl. The employee must be able to talk and hear.  

Work Environment & Job Schedule
 
This position may occasionally require work on weekends but will typically work Monday through Friday at the Vintage Office in Juneau.
