Position Description:

The Administrative Assistant will be a part of the Finance department. This position will assist Deputy CFO & Senior Vice President and Senior Vice President of Tax & Treasury with the administrative day to day functions of the department. The Administrative Assistant must possess a strong work ethic, tremendous integrity, and the ability to be discreet with confidential information.

Responsibilities:

  • Coordinate and maintain various Finance documents and files (electronic and paper), trackers and reports (automated and manual)
  • Responsible for opening and sorting mail; data entry of invoices; matching Purchase Orders
  • (PO's) for payment; research payment history; receiving of products and general clerical duties as assigned for Finance Department
  • Prepare monthly professional fees reports for Corporate Tax department
  • Work with site Tax Leaders for proposed budget with PwC on a quarterly basis
  • Meeting arrangements and set-up of telephone/webcast/video conferences, confirmation of attendance, preparation of agenda, venue, catering and in some cases attend to ensure proper meeting coordination
  • Generate purchase requisition based on agreements and on boarding vendor when necessary
  • Preparing correspondence of a confidential nature relating Finance department activities as required
  • Communicate and work with other assistants on reception coverage and office coordination
  • Coordinate and manage all travel schedules, accommodations, itineraries, visa requirements and subsequent expense reports
Qualifications:

  • 2-3 years' experience in similar role within Finance department
  • 1-2 years' experience working with ERP software (such as Oracle or SAP)
  • Must be a team player; willing to continuously and proactively collaborate, share and seek information and guidance
  • Must have excellent attention to detail and organizational skills
  • Strong knowledge of MSWord, MS Excel, MS PowerPoint are required.
