Job Description

Reporting to the Sarnia Director, Operations and based at the Sarnia home office location, the successful candidate’s primary responsibility will be to provide professional in-person and telephone reception. In addition, the candidate may provide administrative and document control support as required such as producing miscellaneous correspondence, reports, specifications, and spreadsheets.

Responsibilities:
  • Provide professional, courteous in-person and telephone reception using a multi-line VOIP phone system (make sure phone is on by 7:30am each work day)
  • Greet visitors and ensure they sign in and review Visitor Safety pamphlet as well as obtain a visitor badge
  • Maintain daily client Sign In/Out Sheets
  • Maintain daily employee Sign In/Out Sheets
  • Dispatch and receive courier packages (and prepare courier labels)
  • Timesheet Administrative duties
  • Boardroom bookings
  • Creating new employee training schedules
  • Sort incoming mail daily and distribute to mailboxes daily; process outgoing mail daily
  • Keep mailbox assignment / labels updated with staff changes
  • Maintain and order kitchen supplies (coffee, tea, etc.).
  • Manage distribution of digital cameras and maintain camera log as well uploading photos to shared drive
  • Coordinate the sign out of company vehicles and maintain usage / repair log sheets
  • Fax documents
  • Prepare, edit and proofread a wide variety of documents and reports
  • Set up, process and maintain project documentation in accordance with Document Control procedures
  • Remain available at reception throughout the day. The Receptionist can be relieved for breaks by designated individuals and will also be relieved 30 minutes for a lunch break.
  • Provide administrative support to other departments and projects as required
  • Responsibilities are subject to change at management’s discretion. Other duties may be assigned as required by the business.


Qualifications:
  • College Diploma in Office Administration or equivalent
  • Minimum 2 years administrative/document control experience required
  • Previous experience working in an engineering environment an asset
  • Proficient with MS Office including advanced Word, Excel and PowerPoint
  • Above average verbal and written English communication skills
