Primary Purpose

The Payroll Administrator is responsible for the preparation and processing of biweekly payroll for over 300 employees; review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions.

Duties and Responsibilities

  • Accurate time entry for biweekly/bimonthly payroll with minimal of 3 errors per pay period.
  • Payroll enquires are handled in a timely and efficient manner within two-day period.
  • Managing the payroll personnel files to ensure privacy.
  • Follow up on discrepancies in time entry such as equipment operation, leave of absence, equipment hours and status changes with supervisors.
  • Review time sheet summary and ensure they are aligned with employee's position, hours and leave of absence.
  • Receive, sort, and disburse mail.
  • Review vacation entitlements for terminating employee and adjust pay accordingly.
  • Produce reports as requested by the Payroll Supervisor or other departmental supervisors.
  • Liaison between all departments and payroll ensuring the vacation schedule is up to date.
  • Responsible for tracking apprentices' hours, certification. Acts as liaison for the apprentices and ITA.
  • Ensure all information is updated in payroll, ADP and employee files.
  • Balancing and thorough review of benefits and RRSPs.
  • Other duties as assigned.

Qualifications and Experience

  • Completed or working on completion of CPM Designation through Canadian Payroll Association.
  • Knowledge of CRA regulations and Employment Standard Act Regulations.
  • A minimum of 5 years Payroll experience.

Skills and Abilities

  • Excellent demonstrable knowledge of Microsoft Office.
  • Advanced knowledge in Excel is required.
  • Familiar with Human Resource Management Systems, experience with ADP.
  • Maintaining confidentiality is requirement of position.
  • Able to adapt to changing priorities and deadlines.
  • Possess strong problem-solving ability, attention to detail.
  • Ability to act with tact, good judgment, and discretion.
  • Ability to maintain the confidentiality of files, personal information, and other matters, as appropriate.
  • Excellent interpersonal, oral, and written communication skills including ability to effectively communicate and interact with all individuals with integrity, empathy and sincerity.
  • Ability to work under pressure and maintain a calm focus during hectic periods.
