Office Administrator – (London) Maternity cover

A fantastic opportunity is available for an Administrator to join a professional services company in London, this is a maternity cover for up to 12 months

Hatch is a global multidisciplinary engineering and advisory company having UK offices in London, Dorking, and Manchester.

You will be providing administration support to the Hatch business units within UK in order to support them in their business cycle from proposal preparation to finalization of reports and presentations. In specific regard to the London office, your will be responsible for support in the management of facilities, print and post whilst managing the reception function and taking responsibility for core office duties to assist in the smooth running of the office. We are looking for someone with a positive personality and impressive social skills as you will often be the first point of contact to our clients and visitors.

The Role:
  • Provide technical assistance with business proposals/presentations
  • Support the management team in taking meeting notes
  • To manage correspondence by responding to emails and sorting mail
  • To ensure that all meeting rooms are tidy, safe and welcoming
  • To arrange meetings by scheduling appropriate meeting times, booking rooms and planning refreshments
  • To assist in planning and arranging events including organising catering for working lunches
  • To manage reception duties and meet and greet clients and visitors
  • Responsibility for ordering/managing stationery and office equipment
  • Co-ordinate with relevant parties to arrange travel
  • Undertake general administration including preparation of invoicing/expense reporting
  • Draft, format, scan and print relevant documentation as required
  • Maintain accurate records for employee holiday requests
  • Manage outgoing post and process DHL courier shipments
  • Photocopies and files appropriate documents as needed
  • Attends workshops when requested
  • Assist with website functions and social media profiles
  • Undertake other facilities duties as required to include health and safety, DSE, first aid, security and fire arrangements
  • Arrange IT equipment for new starters, program access cards and order business cards
  • Assist with queries on issues with printers/IT equipment and arrange for appropriate engineers
  • To create and issue welcome packs for new employees

Key attributes of the successful candidate:
  • Excellent communications skills with great attention to detail, and a can-do attitude
  • An ability to work in a multi-disciplinary and integrated team environment.
  • An ability to be flexible and motivated to be able to prioritise and multi task
  • Excellent numerate and written communication skills
  • Working knowledge of IT systems and technical skills to assist with proposals and presentations
  • Project Management capabilities
  • Strong team player with collaboration skills
  • Ability to work without supervision with excellent time management skills
  • High level of IT literacy – MS Office, Outlook, Word, Excel, PowerPoint, Internet
  • Ability to diplomatically handle confidential information
