Position summary

If so, a fantastic opportunity has become available within our Light Motor Vehicle Fleet Team for a Fleet Administrator to join a team that manages Downer Group's National Fleet of some 5000 Light Motor Vehicles.

THE ROLE
Reporting to the National Light Motor Vehicle (LMV) Programme Coordinator your role as the Fleet Administrator will be to provide administration and clerical services to ensure effective, efficient and accurate fleet information is prepared and provided to, and that required actions undertaken promptly for our key stakeholders. Duties include:
  • Preparation, submission and filing of appropriate LMV documents to required expectation of detail, accuracy and time.
  • Establishing and maintaining appropriate registers and ensuring all relevant documents are properly maintained and submitted to relevant parties including Group Office Accountants, a wide variety of Downer personnel, Original Equipment Manufacturers (OEMs), Fleet Management Organisations (FMOs), and other supply organisations as required.
  • Preparing and processing LMV internal transfer documentation and arranging for the transfers to be effected.
  • Managing and attending to relevant LMV enquiries
  • Monitoring enquiries and various requests relating to LMV asset changes, disposals, transfers and other relevant activities.
  • Ensuring required information and documentation for LMVs throughout various stages of their lifecycle is provided in a timely manner.
  • Working with internal Downer partners to ensure Fuel Cards and E-Tags are ordered and supplied on time to the correct location
ABOUT YOU
  • Two (2) years of experience in an administrative and/or fleet support role would be beneficial.
  • Ability to prioritise and manage multiple tasks.
  • Proven experience in computer skills including the ability to operate computerised spreadsheet, word processing programs, and email at a proficient level
  • Demonstrated strong verbal and written communication skills and able to communicate with a wide variety of people.
  • Developed administrative and planning skills
  • To work effectively as a member of the team
  • High levels of self-discipline and self-motivation
  • Service and customer focused
