Overview / Responsibilities

Wood has an opportunity available for an Intermediate Document Controller to support our Oakville, Ontario office. The Intermediate Document Controller will be working with the Document Control Lead and other Document Controllers to performing such duties such as registering, checking, transmitting, and tracking documents in accordance with the Wood Document Control Procedures and Instructions.

Key Responsibilities
  • Learn and follow the Wood Document Control systems and procedures.
  • Complete document transmittals within a 24 hour allocated timeframe.
  • Quality check all documents prior to transmittal issue for proper signatures, revisions, document quality
  • Identify and correct transmittal issues
  • Preload documents from excel into the Wood Document Control system, and update document meta-data accordingly
  • Set-up and follow document distribution lists
  • Communicate effectively with document initators, other disciplines, and client counter-parts
  • Communicate with the Project Controls group to ensure progress milestones are tagged.
  • Transmit documents to the Procurement and Contracts teams so they can issue for bid.
  • Work closely with the Wood Information Management team to set-up Suppliers and Contractors in the Wood system.
  • Learn, produce, and run variance / exception reports on overdue documents
  • Issue Wood, Client, Supplier, and Contractor documents to the appropriate distribution lists.


Skills / Qualifications

  • Technical or business / information management college diploma is an asset.
  • 5 years Experience working in an engineering project group or information management center
  • Experience working with an EPCM / Engineering company is an asset
  • Knowledge of electronic document management systems
  • Knowledge of electronic document management processes
  • Experience in electronic data format production and retention requirements
  • Team player, willing to handle peaks of work to meet project timelines.
  • Good communication skills
  • Current authorization to lawfully work in Canada without sponsorship from Wood is required
  • ***This position is not budgeted for relocation assistance of any type. Successful candidate must live locally to the GTA, Canada area or be willing to relocate at their own expense
