Job Summary/General Accountability

Â

Reporting to the Supervisor, Office Services, the Office Services Coordinator is responsible for providing support for all functions within the Office Services department and for providing general office services and assistance for the RACE21 office.

Please note that this is a 6 month contract position.Â

Key Accountabilities

Â

Responsibilities:
  • Administrates all Reception duties including greeting visitors, answering calls, booking meetings, access card management and distribution as instructed by the Risk Group. Â
  • Mailroom duties including accurately sorting incoming courier packages and Canada Post mail, receives courier deliveries, and prepares outgoing deliveries and shipments.
  • Assists with office maintenance, repairs, and scheduled services. This includes identifying areas that may require services (lights out, broken equipment etc.) and submits workorders as required. Obtains quotes from suppliers and contractors, receives approval from the Supervisor, Office Services, sets up service calls and submits work authorizations as required.
  • Liaises with coffee and office supply company representatives to ensure proper stocking of supplies in all coffee areas, kitchens, and copy rooms.
  • Assists with moving of office furniture, equipment and supplies as required.
  • Arranges catering for meetings. Sets up meetings and catering, cleans up after meetings and handles requests as required.
  • Tidies and organizes all copy rooms, kitchens, meeting rooms and any other areas that require attention within the office.
  • Is helpful to all employees, and assists when requested
  • Performs other duties as assigned by the Supervisor, Office Services

Qualifications:
  • 5 years previous office experience is necessary in a similar office role; previous customer service experience is an asset
  • Proficiency in MS Office, including Word, Excel and Outlook applications
  • Exceptional attention to detail and organizational skills required
  • Excellent written and verbal communications
  • A flexible and adaptable candidate who is comfortable with change, a busy and fast-paced environment, who is willing to work extra hours when required
  • Demonstrated ability to work under pressure, meet tight deadlines and effectively handle changing priorities
  • Proven ability to establish and maintain effective working relationships by exercising tact and diplomacy while maintaining the highest levels of customer service
  • Enjoys working in a team environment and can also work independently with minimal direction
  • The incumbent must possess a helpful, positive, cheerful and professional demeanor.
  • Ability to demonstrate discretion
