Project Coordinator - Manufacturing Projects

Location: Perth

Roster: Monday to Friday

Reporting to the Manager Manufacturing Projects, the primary role of this position is to provide the day-to-day coordination of projects and tasks managed by the Manager Manufacturing Projects and facilitated by the Program Management Office (PMO) in support of a large, diverse and evolving portfolio of projects. Critical to your success is the ability to manage multiple tasks simultaneously, discipline and organisation to ensure diligent recording of actions and follow up.

Key accountabilities will include:

  • Supporting the effective communication of PMO tasks and initiatives across multiple stakeholders in support of the PMO Office
  • Support for the maintenance and monitoring of project plans, project schedules, budgets and expenditures
  • Facilitating standardisation of reporting and project delivery by the PMO Team
  • Development and management of tools to facilitate standardised reporting and management of activities
  • Management and maintenance of issue and change registers on behalf of the PMO Team
  • Running, developing, and producing all reports for the monthly reporting cycle on behalf of the PMO Team
  • Organising, attending, participating, and minuting all stakeholder meetings
  • Documenting and following up on important actions and decisions from meetings
  • Preparing necessary presentation materials for meetings
  • Ensuring project deadlines are met
  • Documenting project changes
  • Providing administrative support as needed, including diary management, travel arrangements, expense claims and other day to day running of the PMO office
  • Undertaking project tasks as required
  • Assess project risks and issues and provide solutions where applicable
  • Ensure stakeholder views are managed towards the best solution
  • Chair and facilitate meetings where appropriate and distribute minutes to all project team members
  • Development and maintenance of time management strategies including creation of a project management calendar for monitoring delivery of team goals and objectives

Qualifications and skills required:

  • Experience with planning and scheduling software advantageous
  • Prior experience in a similar role preferably in the resources sector or large complex listed environment
  • Enjoy working in a dynamic, fast-paced environment in collaboration with other like-minded team members and adjacent project teams (also delivering a variation of the system)
  • Understand project timeframes and phase gates
  • Experience of working with Project Management and Engineering professionals
  • Competency in Microsoft applications including Teams, Word, Excel, and Outlook
