Summary:

Barr is seeking an administrative assistant for our Salt Lake City office to be the first point of contact for clients and vendors and work closely with other office staff. Responsibilities include answering phones, relaying messages, greeting visitors, and coordinating visitor parking. Additional tasks involve working with property and parking management staff, ensuring office COVID-19 procedures and protocol are followed, assisting with food and beverage supplies, setting up for meetings, and tidying and stocking conference rooms, shared spaces, and kitchen areas.

The person in this position may also provide logistical support for meetings and conference calls; provide administrative assistance to project offices in Rock Springs, Wyoming, and Reno, Nevada; coordinate on-site facilities work such as office maintenance, ergonomic assessments, and workstation adjustments; assist with office equipment use and maintenance; assist with fleet management and vehicle maintenance; track and order office supplies; assign and track card keys for employees and visitors; fax and copy documents; and ship and receive packages.

Minimum Qualifications:
  • Three years of experience as a receptionist, administrative assistant, or related position
  • Ability to maintain a regular work schedule of 8:00 a.m. to 5:00 p.m. in-office, Monday through Friday
  • Strong interpersonal, oral, and written communication skills and the ability to communicate effectively with clients, employees, and visitors
  • Experience with Microsoft Office Suite and Microsoft Teams or a similar video conferencing application
  • Ability to manage multiple tasks and prioritize simultaneous requests
  • Ability to occasionally lift 40 lb. boxes
  • A flexible working style and willingness to modify personal schedule as required to meet client needs
  • Demonstrated attention to detail, task follow-through, and ability to develop new skills
  • High degree of initiative and willingness to take on additional tasks and responsibilities
  • Legal authorization to work in the United States without the need for sponsorship
  • Acceptable driving record


Preferred Qualifications:
  • Five or more years of experience in a related position
  • Post-high school training in a related area
  • Experience scheduling meetings in Outlook
