Lead Project Data Controller / Lead Document Controller

About the role

We are looking for a Lead Project Data Controller to provide and ensure a proficient, effective, timely and quality document management and control service throughout the Project's lifecycle, across dispersed teams, time-zones, and geographies, whilst being based in Resolution. This role is part of an exciting central function, supporting a number of diverse projects across various product groups throughout the global Rio Tinto Project portfolio.

This role is a great opportunity for a team player who has great stakeholder engagement skills to manage complex EPCM engagements. They will also be involved in project set up and implementing ongoing process improvements.

Reporting to the Superintendent Project Data Management and working in an exciting and collaborative team, within Rio Tinto Projects, you will:
  • Manage complex stakeholder engagements to drive standard implementation of owner's team data management requirements
  • Oversee the project data management set up projects, provide guidance, support and training to Project teams and external stakeholders in all tools and processes.
  • Provide best practice knowledge in managing and processing document management
  • Be responsible for the management of a small to medium team
  • Manage project data through the project life cycle to ensure all data is safe and secured to hand over to operations at project completion
  • Ensure compliance with Rio Tinto, external standards, and Document Management and Control guidance for major projects
  • Provide a quality assurance function to the team in terms of accuracy and company standards in relation to document management and control processes and systems.
  • Liaise with document controllers and other stakeholders to ensure consistent principles are applied with the proper classification and identification of information.
  • Engage with external stakeholders to ensure compliance to Rio Tinto processes and procedures
  • Liaise with internal project data management team, to identify and streamline internal processes whilst looking for ways to automate and innovate

What you'll bring
  • A commitment to the safety of yourself and your team
  • Substantial experience in a document control role working on large projects (Min 10 years)
  • Previous experience in managing small to medium document control teams
  • Excellent collaboration and engagement skills dealing with stakeholders' groups and team members
  • Previous exposure in installing and managing Document Control systems and processes
  • Previous experience in project set-up and contract/project close-out and handover
  • Previous experience in managing suppliers, contractors and/or vendor teams
  • Ability to oversee, manage and report on the team's workload
  • Ability to excel in a fast-paced work environment

It will also be beneficial if you have:
  • In-depth knowledge of the project management lifecyle, from OoM to Close-out
  • Broad understanding of the contract and/or supply chain process
  • Experience working at or supporting a remote project site
  • Ability to review project schedule.
  • Previous experience in working with Digital Delivered projects
  • Broad understanding of project management tools and processes
  • Experience with Knowledge of Document Management Project based software tools and systems
