Our business is experiencing rapid growth. Based in the Sydney CBD, this newly created full-time position will suit an EA who is a self-starter, enjoys accountability and can work both autonomously and within a team environment.

The role has a primary focus working in partnership with the Infrastructure Director, providing executive supports, with additional responsibility for overseeing all aspects of day-to-day office administration.

As the successful candidate, you will:

• Provide effective, efficient and professional secretarial and administrative support to two members of the Sydney executive leadership team, as required.
• Manage travel bookings and itineraries for outgoing and incoming staff and visitors, both domestic and international.
• Effectively manage daily functions for the office, including dealing with supplies, maintenance, building management, safety and utilities.
• Record, distribute and follow up actions
• Actively assist in creating a positive organisational culture.
• Act as a central point of contact for management and staff and develop strong relationships with all levels within the organisation.
• Reconcile expense claims, credit card statements, purchase orders and accounts payable.
• Compile Board-quality presentations, agendas, reports and statistical data as required
• Plan and coordinate client and staff functions by effectively meeting timeframes and budgets.
• Provide ad hoc administration support to the local leadership team
• Compiling monthly reports through the engagement with others and preparing these for Board-quality submissions
• Providing guidance and support to reception and office support teams

You bring to the role:

You will have significant EA experience, ideally at senior leadership level, with demonstrated ability to maintain a strict level of confidentiality. You will enjoy the challenge of improving processes in growing business. You have exceptional organisational skills and experience managing complex schedules; diary management; coordination and booking travel. You will have an affinity for picking up new systems and advanced knowledge of Office 365 is a must. Previous experience working in an engineering or construction firm will be advantageous
