You will help to ensure successful candidates are ready to start in their new role in line with the Talent Acquisition demand. This includes ensuring that all offers, checks and pre-boarding activities are completed before the employees start date to enable the new starter to be productive in their role from day 1. You will act as the single point of contact (SPOC) connecting the candidates and hiring leads from offer acceptance to day one in role and providing the positive people experience as we welcome the new starters into Rio Tinto. You will collaborate with your peers, stakeholders in HR and other functions along with relevant vendors to put the experience of the candidate first.

Reporting to the Offers & Pre-boarding Superintendent and working in a collaborative community within the Recruitment Team as a Offers & Pre-Bard Analyst, you will:
  • Acting as the single point of contact to manage the offers, checks and pre-boarding activities from offer acceptance through to Day 1 in role.
  • Actively partnering with the Talent Acquisition Partner, Regional HR Ops, vendors and stakeholders to ensure recruitment demand is met within the given timelines and new starters have a positive pre-boarding experience
  • Owning a candidate's pre-boarding experience end-to-end (Offer acceptance through to Day 1 in role) by managing different activities which include:
    • Creating offer letters and coordinating the TA team & Hiring leader to complete the remuneration recommendation, verbal offer and contract disbursement
    • Initiating pre-employment screening checks and medicals
    • Guiding candidates through the variety of vendor processes and activities
    • Coordinating global core & common pre-boarding activities including initiating relocation, ordering IT hardware, requesting building/site access, requesting car parking and coordinating a buddy based on the requirement of the role and ensuring all activities are complete prior to the employees start date
    • Coordinating regional/site pre-boarding activities, including (but not limited to) logging uniform, locks, PPE orders, support tool shipping to site, scheduling inductions in line with the start dates and training availability, booking flights & accommodation for inductions/training and site rostered travel based on the requirement of the role and ensure all activities are complete prior to the employees start date
    • Regular communication with the candidate and other stakeholders to keep them informed about the different steps/stages of the process
    • Influence a suitable start-date being set for new starters that allows sufficient time for all pre-boarding activities to be completed, ensuring a good employee experience
  • Address and troubleshoot any Candidate and Hiring leader's queries regarding relocation & pre-boarding activities. If the answer is not immediately known, seek out the answer or relevant information with your peers, process stakeholders or vendors
  • Effectively manage candidate information and storing all the relevant documents in a centralised, secured and organized manner
  • Coordinate with the candidate to ensure all pre-boarding documentation is returned and processed at an appropriate time
  • Ensure the status of all offers, checks & pre-boarding activities are accurately tracked in a timely manner in the pre-boarding tracker
  • Manage a continuous improvement loop to support improvements in the pre-boarding process
  • Collaborate and engage with key stakeholders through the process - ESPS, IS&T, Mobility, RHRO, Procurement, HSE etc
  • Practice outstanding process governance by ensuring all processes and any changes are captured in centrally stored and maintained Talent Acquisition process documents i.e. job-aids, checklist, communications templates
