Summary:

Barr is seeking an administrative assistant for our Minneapolis, Minnesota, office to provide administrative support to our office leadership and staff. The individual in this role will work closely with a third-party provider to be a resource for clients, vendors, and visitors to our headquarters in Minneapolis. Work activities include providing executive support to office leadership, supporting project staff to produce high-quality technical project deliverables, supporting the business travel program, scheduling and coordinating office meetings and events, coordinating shipping and receiving of documents and supplies, answering phones, relaying messages, and greeting visitors.

Additional tasks involve working with property management and janitorial staff, ensuring compliance with office COVID-19 procedures and protocols, assisting with food and beverage ordering, setting up for meetings, and ensuring conference rooms, shared spaces, and kitchen areas are presentable and stocked with necessary supplies. The person in this position will also be called on to provide logistical support for project meetings and conference calls; assist with transportation arrangements for office staff; coordinate certain on-site facilities work such as office maintenance and workstation adjustments; assist with office equipment use and maintenance; assign and track card keys for employees and visitors; and provide support for mail, copy, and production services. This role has optimal value to Barr with frequent in-person interactions with other Barr staff, clients, vendors and contractors.

While flexibility exists for some remote work, the role will require significant presence in the company's headquarters location.

Minimum Qualifications:
  • Three years of experience as an administrative assistant role or a related position
  • Strong interpersonal, oral, and written communication skills and the ability to communicate effectively with a diverse group of people including clients, employees, and office visitors
  • Ability to exercise good judgement and make effective decisions
  • Experience with Microsoft Office Suite, including Microsoft Teams and other web conferencing or video conferencing application
  • Ability to manage multiple tasks and prioritize simultaneous requests
  • Ability to occasionally lift 40-lb. boxes
  • Demonstrated attention to detail, task follow-through, and willingness to develop new skills
  • High degree of initiative and willingness to take on additional tasks and responsibilities
  • Legal authorization to work in the United States without the need for sponsorship
  • Acceptable driving record


Preferred Qualifications:
  • Five or more years of experience in a related position
  • Post-high school education or training in a related area
  • A flexible working style and willingness to modify personal schedule on occasion if necessary to meet client needs
  • Experience with Deltek Vision or similar enterprise resource planning software
