The Role

We are seeking an experienced person to fill a Specialist-Administration & Support position on Lihir Island, PNG. Reporting to the Supervisor-Shutdown Logistics under the Shutdown Management department, the successful incumbent will be responsible to support and develop the skills required to provide day-to-day administrative and cost control support for various teams within the SDM Shutdown Logistics area.

The role will have responsibility to:
  • Ensure personal and team compliance with all company HSE requirements & policies including Fitness for Work.
  • Complete any HSE tasks only if the hazards and any potential consequences are understood and any corrections are firstly agreed by the relevant Supervisor.
  • Develop team members through daily feedback, mentoring, coaching and formal training.
  • Create opportunities for people to work together to enable them to contribute to the business and learn from each other.
  • Work constructively within a diverse group of people.
  • Deliver consistently on commitments and takes accountability for own development.
  • Provide all administration support including managing flight requests and related logistics for people movements, booking venues, liaising with staff and maintaining administrative records in the various departmental systems.
  • Provide general administration support to the department as required including filing, telephone answering, scanning, photocopying and emails.
  • Responsible for controlling and monitoring purchase orders and expenditure, including verifying and checking of invoices and claims from suppliers, vendors and subcontractors to ensure that all expenditure is captured and properly recorded.
  • Verification of claims from suppliers and contractors and coordination with Asset Management for delays/deliveries and resolution of discrepancies as required.
  • Ensure expenditure is kept within planned monthly budget and at any given point in time.
  • Provide cost control and planning advise to department sections as and when required.
  • Provide administrative cost control support including monitoring allocated cost centres, budgets, liaising with staff and maintaining cost accrual records in the various departmental systems according to procedure.
  • Provide general administration support to the department as required.
  • Actively seek cost reduction opportunities and identifies & reports any cost wastage within designated area.

Essential criteria
  • Certificate 3 Business or relevant qualification in Administration or Business essential.
  • Completion of secondary or vocational education essential.
  • Degree in Management or Accounting desirable.
  • Working with SAP or equivalent master data system
  • 2-3 years Extensive related work experience, including in management, finance or accounting.
  • Good understanding of administrative tasks including data entry, maintaining schedules, keeping records, responding to queries etc.
  • Computer proficiency in MS Office suite, especially Excel.
  • Proficient in English with excellent verbal, written communication and presentation skills.
  • Self-motivated with the ability to work autonomously from time to time.
  • High attention to detail with good time management skills.
  • Strong active listening & interpersonal skills.

Desirable criteria
  • Relevant equipment license, PNG Driver's Licence
  • Need to be self-motivating and open to problem solving
  • Need to be flexible with changing tasks
  • Need to adapt to different challenges and changing circumstances
  • Any previous experience within mining (highly desirable).

The Requirements
  • Must be open to FIFO in PNG.
  • Ability to successfully complete a pre-employment medical assessment.
  • Must have proof of a completed Police Clearance within the last six months.
  • Must be willing to get Covid-19 vaccination
