Our business is growing, and we are looking for an Administrative Assistant to work with our North American Tax and Law departments. The successful candidate will p rovide support to our tax and legal functions.

Responsibilities:

  • General office functions, such as sorting and distributing mail, greeting visitors, assisting with correspondence and mailings, monitoring office inventory and ordering supplies;
  • File set-up and maintenance (both physical and electronic);
  • Initiation and maintenance of purchase requisitions and purchase orders;
  • Working with Tax, Legal, and Government Affairs departments to ensure proper and timely payment of service invoices;
  • Manage proper and timely payment of invoices for routine office and operating expenses;
  • Liaising with IT department regarding initial setup and continued maintenance of computers, cell phones, printers and other office equipment;
  • Assisting with office budget projections;
  • Assisting Legal and Tax departments with travel needs and itineraries, including preparing travel documents and Visa applications, as well as preparing expense reports;
  • Assisting Tax and Legal department members with various projects, filings and file support;
  • Assisting with management and support of Regional Land and Records Management departments.
  • The above duties and responsibilities are representative of the nature and level of work assigned and are not necessarily all-inclusive.


Qualifications:

  • At least 3 years of experience in an administrative position in a complex industry organization or equivalent high-quality law firm required.
  • Excellent written, interpersonal, and verbal communication skills required.
  • Proficiency with MS Office applications (Word, Excel and PowerPoint) required.
  • Proficiency with SAP and related software preferred.
