Summary:

Barr is seeking an administrative assistant for our Minneapolis, Minnesota, office to provide administrative support to office leadership and staff. The individual in this role will be a part of our facilities and services team working directly with the director of facilities and services and facilities coordinator. This role is of optimal value to Barr and involves frequent in-person interactions with Barr staff, clients, vendors, and contractors.

While flexibility exists for some remote work, the role will require a significant presence in the company's headquarters location. This position is be based out of Barr's Minneapolis, Minnesota office.

Responsibilities include:

  • Partnering with our third-party provider to be a resource for clients, vendors, and visitors to our headquarters in Minneapolis
  • P roviding executive support to office leadership to produce high-quality deliverables
  • S upporting the business travel program and assisting with travel coordination and questions
  • Assisting with food and beverage ordering for meetings and events
  • S cheduling , coordinating , and providing logistical support for office meetings , events , and conference calls
  • Administering key cards for employees and visitors
  • Coordinating office arrangements for new employees and visiting staff
  • Coordinating on-site facilities work such as office maintenance and workstation adjustments
  • Being the primary contact for office equipment use and maintenance questions and issues
  • Support ing the rollout of Barr's flexible work arrangements policy a s it relates to facilities and workspaces
  • Partnering with our third-party provider to p rovid e support as needed for shipping and receiving of documents and supplies
  • Partnering with our third-party provider to provide support as needed for a nswering phones, relaying messages, and greeting visitors
  • Partnering with our third-party provider to provide support for ensuring conference rooms, offices, shared spaces, and kitchen areas are presentable and stocked with necessary supplies


Minimum Qualifications:

  • Two years of experience as an administrative assistant role or a related position
  • Strong interpersonal, oral, and written communication skills and the ability to communicate effectively with a diverse group of people including clients, employees, and office visitors
  • Ability to exercise good judgement and make effective decisions
  • Experience with Microsoft Office Suite, including Microsoft Teams and other web conferencing or video conferencing application
  • Ability to manage multiple tasks and prioritize simultaneous requests
  • Ability to occasionally lift 40 lb. boxes
  • Demonstrated attention to detail, task follow-through, and willingness to develop new skills
  • High degree of initiative and willingness to take on additional tasks and responsibilities
  • Legal authorization to work in the United States without the need for sponsorship
  • Acceptable driving record


Preferred Qualifications:
  • Three or more years of experience in a related position
  • Post-high school education or training in a related area
  • A flexible working style and willingness to modify personal schedule on occasion if necessary to meet client needs
