The Administrative Assistant, Mobile Shop provides administrative support to the employees of the Mobile Shop.
Duties and Responsibilities:
Education and Experience:
College diploma in Office Administration or related experience
1-3 years office-related experience
Preferred: Experience in a shop or industrial environment

Duties and Responsibilities:
- Maintain all shops complexes documentation related to environmental disposal of waste oils
- Maintain Mobile Shop Safety Inspection documentation update as issues/concerns are completed or resolved
- Organize, facilitate, participate, take, prepare, and distribute minutes for Shop Complexes JHSC
- Maintain Training Matrix and set-up/schedule training as required for Mobile Employees
- Organize and facilitate Monthly Safety meetings, Lunch N Learn
- Assist employees at the Mobile Shop with general office duties
- Attendance/Vacation tracking, including entering time sheets for Mobile Shop employees
- Maintain/update Daily Equipment Maintenance report from Employee work detail on timesheets
- Review monthly Overhead costs for any discrepancies and reallocate when necessary.
- Order supplies for Mobile Shop (stationery, coffee supplies, etc.)
- Attend/chair meetings, take and prepare minutes and distribute them in a timely manner
Education and Experience:
College diploma in Office Administration or related experience
1-3 years office-related experience
Preferred: Experience in a shop or industrial environment
Knowledge Required
- Comprehensive computer skills, including experience with Microsoft Office
- Ability to multi task and work effectively
- Ability to prioritize and organize multiple requests
- Interpersonal skills essential as incumbent is interacting with employees and clients.
- Knowledge of Canadian travel routes and timing
- Ability to work independently and collaboratively
