Job description:
Purpose
A receptionist is often the first business contact a person meets at the Company and plays a key role as they present the first impression to clients and visitors.
Provides all residents/visitors with a high level of service by ensuring that all requests are courteously, promptly, efficiently handled in accordance with Company policies and procedures and, ensures that follow up is consistent and without delay. When situations require, provides them with answers, alternatives and solutions to issues presented.
Satisfies accurate reporting needs, gathering, executing and adjusting the reception of data to the system and cross-checking it with other related systems on Site to avoid discrepancies.
Works in conjunction and supports the administrative activities from the Camps Administrations and Housekeeping Departments.

Key Accountabilities and Challenges
- This position will provide assistance not only to residents and visitors but also, to on Site operation in all Camps.
- Know the services and facilities of the Mine Site to guarantee the quality of the Reception service.
- Knows the management of reservation systems, room allocation and possesses computer skills in general.
- Logging and maintaining continuously accurate records are essential on the daily duties of the Receptionist.
- The Receptionist provides accurate information, as well as, the processing of any service request from a Client, either in person, by phone, email or other web based applications. They maintain a general information system on the status of the Site clientele.
- Manages the database providing updated information on a daily basis or upon request through control of entries, exits, vacant rooms, occupied rooms, reservations, forecasts, diners' attendance to meal services and, any other data requirement related to the Department's function.
Reservations/Arrivals: It is the Receptionist full responsibility to enter/retrieve accurate information of the resident's and, or visitor's arrival and log it on the system, including and not limited to their Global Id, Id Card/Passport Number, position, company name, phone number, etc., filling all the fields in the ISMS system. Assigns the rooms according to client's data processed.
Departures: It is the Receptionist full responsibility to retrieve the accurate departure information and log it on the system, reminding the residents and visitors that if during their stay the data given changes, is their obligation to inform the Reception. Check out on the system, needs to be done immediately once the person leaves the premises.
Room changes: Registers and coordinates room changes when required following the procedures established.
Room Keys: Control room keys and produces copies when necessary. Communicates when room key copy needs to be back charged to the Client due to loss.
Discrepancies: If any discrepancy is found is the obligation of the Receptionist to tell his/her Supervisor for immediate assistance and, generally, proceeds with physical room verification in conjunction with Camps Administrations. The Receptionist will assist, as well, with spot checks jointly with HK. Verifies daily HK occupation reports and reverts in case of any inconsistency.
Reports: Keeps the Reception files updated. Receives and channels correspondence. Maintains equipment and work site in order and reports any anomaly. Prepares daily reports of the activities carried out. Prepares registry in database of daily dinners on Site. Performs other administrative tasks and/or reports and manages the Company's systems in use.
Side duties: May perform any other tasks or similar functions to the position from time to time.
Skills, Knowledge & Experience
- Education
Degree or Technician in Tourism and Hotel Business Administration or related careers.
Windows Office System: Word, Excel, PowerPoint; as well as, the handling of other web based systems, applications.
Knowledge of hotel management systems, data capturing, statistics and forecasting.

Professionalism: Maintain positive, effective and respectful working relationships with co- workers, Supervisors and Managers within and across Department boundaries. Uphold and display high standards of professionalism, customer services, integrity, honesty, attendance, punctuality and personal appearance.
Communication: Strong communication skills are required, he/she will work hand by hand with the Reception Supervisor, Camps Administrations and Housekeeping Departments to maintain the discrepancies to the minimum and guarantee that all guests are checked in or out and departures/rotation dates are accurate.
Customer service: Provides excellent customer service where cordiality and kindness prevail.
Safety & Hygiene: Complies with safety and hygiene standards and protocols established by the Company and required by national legislation.

- Experience
Previous experience in similar positions in hotels/receptions highly desirable.
- Language
English language both oral and written skills desirable.

Working Conditions
Cobre Panama is a remote site. The position is offered as Residential BIBO.
Work hours and rosters may vary as required by the business.
