Summary:

Barr is seeking a receptionist/administrative assistant for our Duluth, Minnesota, office to provide administrative support to our office leadership and staff and otherwise be the first point of contact for staff, clients, and vendors to our Duluth office. Work activities may include providing executive support to office leadership, scheduling and coordinating office meetings and events, coordinating shipping and receiving of documents and supplies, answering phones, relaying messages, and greeting visitors. Additional tasks involve working with property management and housekeeping staff, assisting with food and beverage supplies, setting up for meetings, and tidying and stocking conference rooms, shared spaces, and kitchen areas.

The person in this position will also be called on to provide logistical support for project meetings and conference calls, supporting project staff to produce high quality technical project deliverables, coordinate transportation arrangements for office staff, coordinate on-site facilities work such as office maintenance and workstation adjustments and setup, assist with office equipment use and maintenance, assign and track card keys for employees and visitors, fax and copy documents, and coordinate Barr-branded merchandise in the in-office store.

This position requires presence in Barr's Duluth office Monday through Friday from 8:00 a.m.-5:00 p.m.

Minimum Qualifications:

  • Two years of experience as a receptionist, administrative assistant, or a related position
  • Punctuality and ability to maintain a regular in office work schedule of 8:00 a.m.-5:00 p.m., Monday through Friday
  • Strong interpersonal, oral, and written communication skills and the ability to communicate effectively with a diverse group of people including clients, employees, and office visitors
  • Ability to exercise good judgement and make effective decisions
  • Experience with Microsoft Office Suite, including Microsoft Teams and other web conferencing or video conferencing application
  • Ability to manage multiple tasks and prioritize simultaneous requests
  • Demonstrated attention to detail, task follow-through, and willingness to develop new skills
  • High degree of initiative and willingness to take on additional tasks and responsibilities
  • A bility to occasionally lift 40-lb. boxes
  • Legal authorization to work in the United States without the need for sponsorship
  • A cceptable driving record


Preferred Qualifications:

  • Five or more y ears of experience in a related position
  • Forward-facing customer service experience
  • Post-high school education or training in a related area
  • A flexible working style and willingness to modify personal schedule on occasion if necessary to meet client need s
  • Experience with Deltek Vision or similar e nterprise r esource p lannin g software
