Job Title: Parts Coordinator

Location: Chetwynd, BC

Start Date: When filled

Schedule / Terms of Employment: 4x3 shift - 40 hours/week, permanent position

Primary Functions:
  • Provide support and management to the maintenance department regarding parts and items ordered for onsite work orders after work order closure.
  • Provide support to the maintenance department through sourcing of consumable items and management of trolling repairs.
  • Provide support to maintenance and the warehouse departments about inventory parts and items.

Reports to: Site Warehouse Manager working closely with Maintenance Planner

Direct Charge Parts Control

Provide support to the Planning Department to complete the follow up on parts ordered, after a work order has been completed. Work directly with Vendor Representatives to arrange the return and credit of unused parts. Maintain any onsite direct charge items that were not used and are non-returnable.
  • Follow up with all work orders completed on site with focus on parts there were ordered but not used or not needed for job completion.
    • Allocate unused items for return to vendor, on site storage, or to be used on another work order
    • Facilitate RMA with approved vendors
    • Consolidate shipments appropriately to lessen the impact of freight costs for return of parts
    • Store and manage DC items that can not be returned for credit
    • Establish timelines with the planning department for items to be used
    • Work with Planners to update BOMs for actual parts utilization
  • Execute Return Purchase Orders on site, to ensure maximum efficiency of vendor returns
    • Alleviate the procurement team from turning focus away from ordering parts needed for onsite equipment, thus maximizing turnaround time for parts to arrive on site.
    • Return items immediately to reduce the opportunity for packaging to be damaged rendering the parts non-returnable and reduce the probability of vendor related re-stocking fees.
  • Complete site audits of on-site direct charge inventory
    • Ensure that parts held on site will be used
    • Return any parts on a scheduled basis (60-90days) that were held past original work order completion for equipment and jobs that are no longer being completed.
  • Utilize inventory of DC parts listing to ensure that on-site "inventory" is utilized prior to re-ordering parts already purchased

On-Site Sourcing and Purchasing

Complete sourcing for items required on an as-needed basis ensuring that all aspects of existing inventory, vendor contracts and item suitability are met. Work beside the warehouse personnel to arrange end execute rebuild of applicable parts to ensure the most cost effective, and time friendly options are considered.
  • Source items need outside the realm of equipment parts and warehouse managed inventory
    • Facilitate and track tool repairs, re-certification and re-calibration with approved facilities
    • Maintain knowledge of warehouse inventory items to ensure that we are NOT direct charge ordering inventory items stocked on site.
  • Expedite Purchase Orders as needed
    • Track purchase orders to receipt, and ensure delivery to the appropriate department
  • On-Site support for Core Returns and Rebuild parts
    • Work with the warehouse staff to complete Core Return POs to ensure cores are returned in an timely manner using the existing Core return procedure
    • Track and review repair and rebuild times on repairable items, in conjunction with inventory provisioning to ensure we eliminate the need to purchase and rush new parts
    • Confirm that the cost of repair is appropriate, weighing the downtime, cost of new and cost of repair
