Document Controller/ Site Administrator

We are hiring! We are looking for a Document Controller/ Site Administrator to join our team. This position is project based, in Corona, New Mexico, and report to the Owner's Project Manager and Construction Site Manager and assist the Owner Project Controller.

The Document Controller/ Site Administrator will support Owner's representatives in managing and providing document control and general site administration throughout the project construction phase. This position will also provide logistics support as required on site.

How will you contribute to the team?
  • Maintain quality control documentation from all project team members electronically through Owner's Document Control Platform and ensure that EPC Contractor(s) and equipment suppliers are following document management requirements.
  • Ensure revision control of documentation.
  • Assist team members with non-conformances and quality issue closure and documentation.
  • Assist with tracking construction progress and man-hour reporting.
  • Assist with project RFI and transmittal tracking and closeout.
  • Assist team members with maintaining and updating punch lists.
  • Work collaboratively with Construction Manager and other site management personnel, as well as the Owner Project Management Team.
  • Assist the Owner head office by implementing Owner's policies onsite.
  • Provide information by answering questions and requests.
  • Maintain site office supplies inventory, anticipating needed supplies, placing orders and verifying receipt of supplies.
  • Maintain workflow by following Owner procedures outlined in exhibits, contracts at Owner direction.
  • Facilitate preparation for onsite meetings and site visits.
  • Prepare reports, presentations, memorandums, proposals, and correspondence as needed.
  • Uphold safety standards and requirements and ensures safety protocols onsite are followed
  • Track daily deliveries, logging arrival and offload times as well as site conditions for the day.
  • Ensure the EPC Contractor, equipment suppliers, and Sub-Contractor's logs and inspection reports are filed onsite and electronically on the Owner's document control platform.
  • Immediately report any significant injuries to the Construction Manager. In the event of a life- threatening injury or a fatality, follow the Emergency Notification Procedure.

What will you contribute?
  • Experience - Minimum of 5 years' experience in document control, logistics, supply chain management or an equivalent.
  • Relevant Work Experience - Familiar with construction and construction sites.
  • Communication Skills - Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees of the organization.
  • Computer Skills - Competent and knowledgeable computer skills. Must be familiar with Microsoft Office Programs.
  • Reasoning Ability - Use of basic reasoning, thinking "on your feet", and ability to resolve issues quickly with little or no direction from a superior. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule format. Ability to make good judgments and render good decisions.
  • Other Skills and Abilities - Ability to read and understand blueprints. Ability to coordinate many different activities. Ability to read and understand project schedules and other project reports to develop pre-planning opportunities.
