As part of our Shared Services group, comprised of Finance, Marketing, Communications, Human Resources, Commercial, Legal and Facilities, we support the business achieve their goals through a range of strong technical capabilities. We ensure delivery of services through the skills of our people, methodologies, and systems.

Main activities:

· Receiving visitors at the front desk by greeting, welcoming, directing to safety training procedures

· Answering and forwarding incoming phone calls

· Receiving and sorting daily mail / FedEx

· Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)

· Provide basic and accurate information in-person and via phone/email

· Maintain office security by following safety procedures and controlling access via the reception desk (issue visitor badges)

· Order front office supplies and keep inventory of stock

· Update calendars and schedule meetings

· Arrange travel and accommodations, and prepare vouchers

· Keep updated records of office expenses and costs

· Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing

Requirements and skills

· Proven work experience as a Receptionist, Front Office Representative or similar role

· Hands-on experience with travel booking

· Professional / Customer service attitude

· Solid written and verbal communication skills

· Excellent organizational skills

· Multitasking and time-management skills

· High school degree;

· English is a plus
