Job Description:

Summary:

The person in this position will provide administrative support to project teams and managers in Barr's Hibbing office. Work may include tracking budgets and schedules, word processing, communicating with external clients, performing document control, maintaining filing systems and external-facing data platforms (e.g., SharePoint), providing general logistical support, coordinating internal and external meetings (including minutes, distribution, and follow-up), developing visual presentation materials, coordinating travel arrangements, managing group and office calendars, hosting office guests, and providing general support to project teams.

Specific project support tasks may include preparing and editing reports, letters, specifications, and other technical documents; monitoring work orders and budgets; preparing project status and progress reports for clients; managing client contact information; helping with setup, maintenance, and organization of project files; providing quality assurance/quality control for project documents; coordinating production and delivery of major work products; creating PDF files; and performing other duties as necessary for the completion of projects. Work requires frequent coordination with other administrative staff and project managers, including remote employees and other company offices.

Minimum Qualifications:
  • Five or more years of experience in a comparable position
  • Strong computer skills, including proficiency with Microsoft Office and Adobe Acrobat
  • Capacity to thrive in a fast-paced environment where multiple people will provide work direction
  • Exceptional organizational skills and the ability to manage and prioritize multiple tasks
  • Strong oral and written communication skills
  • Demonstrated attention to detail and task follow-through
  • An attitude and desire to help project teams be successful
  • Self-initiative and motivation with an emphasis on client service
  • Ability to work effectively with a variety of personalities and build effective working relationships
  • A flexible working style and the ability to work independently and with teams of specialists to meet client and project needs
  • Legal authorization to work in the United States without the need for sponsorship
  • Acceptable driving record


Preferred Qualifications:
  • Eight or more years of experience in a comparable position
  • Experience preparing visual presentation materials
  • Experience with calendars and scheduling meetings using Outlook
  • Experience with Deltek Vision
  • Experience managing engineering documents and databases
  • Experience with MS Project (or similar) and Bluebeam Revu


A hybrid work arrangement may be considered for this position. A hybrid work arrangement refers to splitting time worked between a Barr office and a home office. This position is based out of Barr's Hibbing, Minnesota, office.
