REGIONAL PROJECT ASSURANCE SPECIALIST

Location: Chicago, IL - CENTRAL REGIONS

Hatch is enhancing its project assurance group to improve project governance oversight and execution, and to provide liaison support between engineering delivery groups and back-office accounting groups. This position will report to the Director Project Assurance and will provide technical support for regional leaders as well as individual project managers. The initial focus of this position is for projects in Central North America.

The ideal candidate is a self-motivated , results-driven professional with a bachelor's degree in Engineering, Project Management, or related field and a minimum of five years of engineering project controls or other closely related experience. Experience with a transportation related firm is a plus. Applicable experience may be considered as a substitute for degree requirements.

Candidates must be detail oriented with excellent organizational skills, the ability to work on multiple projects simultaneously while meeting deadlines and maintaining a high level of quality, as well as the ability to work independently with minimal supervision. The successful candidate will be a multi-tasker who can organize, plan and prioritize tasks among a variety of activities and direct staff accordingly.

As a successful candidate, you will:

This position provides technical support to transit Regional Leaders within a specified region and Project Managers and reports directly to the Director Project Assurance . The primary responsibility of the Project Assurance Specialist is to serve as a regional support resource and shall work closely with internal and external members of project teams to effectively utilize project management and controls tools, meet all defined governance requirements and business processes , provide training and support on relevant business systems, such that projects are delivered according to the established objectives and expectations defined by the contract and company policies and procedures. Specific tasks and responsibilities include a full range of researching, writing, scheduling, budgeting, projecting and tracking tasks as well as all other work that may be necessary to effectively oversee and facilitate project governance, business processes and contract administration for various projects and may include the following specific duties:

  • Coordination with Client Prime Contract Administration including:
    • Preparation and input of cost proposals in business systems,
    • budget monitoring and reporting,
    • budget analysis, resource projections and estimate-to-complete assessments,
    • contract compliance oversight, and maintenance of terms and conditions,
    • ensuring client prime contract and project closeout is achieved.


  • Coordination with Subcontract Administration including:
    • /the preparation of subcontract agreements and input in PPM system;
    • budget monitoring and reporting,
    • budget analysis and estimate-to-complete assessments,
    • contract compliance oversight of terms and conditions,
    • subcontract invoice review and
    • ensuring subcontract closeout is achieved.


  • Coordination with Project Accounting including:
    • Quality review of Project set-up in accounting system to ensure alignment with the PPM system.
    • Quality review of Project invoices prepared by the local accounting support staff or project accountant.
    • Ensure standard company policies, procedures and industry best practices are followed.
    • Ensuring client prime contract, subcontract and project closeout is achieved.


  • Project Assurance responsibilities including:
  • Support and coordinate project management through analytical, problem solving and decision-making skills and minimize company commercial risk through tracking and accountability of major project decisions.
  • Excellent technical writing skills including the ability to:
    • Describe the scope of work for technical projects;
    • Create custom written content of the firm's previous experience for specific projects being pursued;
    • Quickly grasp technical discussions and distill & summarize the essential elements of such discussions in writing;
    • Develop and maintain management plans as per contract guidelines;
    • Perform research on an issue, understand it from a technical perspective, and write about the issue.
  • The ability to oversee and report performance and progress through analytical techniques to validate cost and performance, including the development and tracking of project budgets and schedules and preparation of diagrams, graphs and charts to analyze problems and reporting requirements.
  • The ability to develop resource projections & track utilization and support financial projections by analyzing consultant, employee and subcontract labor and expenses on existing contracts.
  • The ability to track resource projections for all opportunities and proposals to ensure a complete resource plan is reported for the region.
  • The ability to think analytically and make sound decisions to effectively drive important project issues to effective resolution.
  • The ability to coordinate the development of work breakdown structures, resource plans, maintain project schedules using Microsoft Project, Primavera P6, or equivalent Enterprise Project Management applications.
  • Advanced proficiency with document version control (document revisions, track changes, etc.)
  • A dvanced proficiency with Enterprise Project Management and Controls applications, Microsoft Office Suite (Project, PowerPoint, Word, Excel, Outlook, Access), and the ability to quickly learn other software systems and become a subject matter expert providing support to PMs and other users .
  • The ability to oversee multiple projects on a macro level while supporting PM's at a project level, including monitoring KPI's, risks, and issues. Escalating risks and issues in an effort to mitigate timely.
