  • Responsible for: MBCC Contracts
  • Qualifications: A tertiary commercial qualification
  • Experience: 5-8 years work experience in service related procurement
  • Desirable: Has mining technical background (Ore mining and Processing)
  • Purpose /Aim of Job:
The Contracts Specialist is responsible for a wide variety of procurement and contracting duties including drafting contracts, task orders; preparing bidding documents and conducting bidding processes; ensuring all legal, insurance and bonding requirements are met prior to contract execution; preparing reports; recording documents; maintaining the contract log and filing system; and working with project managers to administer. Additionally, to manage all intended and existing contracts, ensuring that contracts are signed, and the contract terms are adhered to in accordance with policies and procedures and that all safety and environment standards are respected.

  • Key Responsibilities
  • Clarify service requirements with HODs to ensure that the RFQ clearly defines the requirements to the potential service provider;
  • Administers the quotations received from the potential service providers ;
  • Assist with the adjudication of the quote
  • Once the quote is approved, raises the Service orders on the SAP system
  • Raises all service orders
  • Ensures that a contract is put in place and that the terms of the contract are clearly defined
  • Maintains a register will all approved contracts
  • Ensures that the original contract is with Finance and filed.
  • Identifies all contracts that are due to expire and ensures that all open service orders are aligned with the service contract.
  • Filing and archiving: Ensures that all documents are organized in an effective manner
  • Ensures that the standards for environment, hygiene and safety at the mine are adhered to.
  • The incumbent may be asked to perform any other tasks that are not explicitly listed above but which are related to the overall objective of the post or with those of the Department of Procurement
  • Ensures implementation of all relevant policies and procedures;
  • Participates in the development of procedures relating to tracking, expediting and quality.
  • Responsible for KPI reporting, and feedback to end users regarding orders
  • Facilitate procurement for public works construction and professional and general services;
RFQ, RFP, and Invitation to Bid processes; scheduling; noticing; assembling bid documents.

pre-bid meetings and bid openings; and preparation of contracts.
  • Understand the cost analyses, budgeting and forecasting demand planning, risk assessment and mitigations, milestones and KPI's.
