Job Description:
An exciting position has become available for a Proposal Coordinator to join the Hatch Metals Business, based in Mississauga

The Proposal Coordinator plays a key role in shaping and supporting the proposal team's goal of producing winning submissions. The role will be responsible for administrative aspects of proposal development-from managing the SharePoint site and creating custom templates, to coordinating proposal inputs/reviews and directing production of the final document. This is where your organizational skills, "can do" attitude, and keen attention to detail will contribute to the success of the pursuit teams!
Quality is critical -you will ensure that our proposals are compliant, error-free, and client-focused, compelling (using features, benefits, and proof points), easy to evaluate, visually appealing and well written.

As the successful candidate, you will:
• Evaluate, manage, and respond to RFPs, RFQs, and EOIs with a focus on project management and quality assurance.
• Manage the proposal process from planning kick-off meetings to submitting final proposal, including action list development and support of proposal coordination meetings for timely completion.
• Develop a proposal outline document, schedule/facilitate contributions of all parties, ensure RFP compliance, draft standard proposal sections, facilitate reviews, identify gaps within draft responses, and perform quality control on the final document.
• Coordinate technical content, update/customize CVs, personnel bios, project descriptions, and other proposal information.
• Assist with managing, monitoring, and maintaining the proposal database, files, and systems through appropriate information management systems (i.e., SharePoint).
• Coordinate creative graphic design and layout; edit, proofread, organize, and understand large volumes of proposal data.
• Coordinate with graphics for the development of specialized content (i.e., stylized schedules, cover sheets, figures/diagrams, etc.).
• Communicate verbally and in writing with proposal participants to track tasks against the schedule to ensure internal proposal deadlines are being met.
• Identify/escalate issues that may impact the proposal's schedule or quality.
• Where appropriate, work with other proposal coordinators, graphic designers, technical resources, legal professionals, and other internal resources to complete and submit the proposal.
• Coordinate final QA process and ensure proposals are delivered within designated timeline.
• Handle all administrative functions including final proposal production, reprographics, binding, finishing, and shipping of documents.
• Support clarifications and post-bid submission requirements.
• Assist with interview preparation through presentation deck design and compliance to visual identity standards.
• Coordinate post-proposal evaluations and internal debriefs to obtain insights for improving the proposal process.
• Train/coach junior proposal team members for continual improvement.
• Other duties include developing and maintaining support material: boilerplate content, CVs, project sheets, images, testimonials.

Qualifications:
• Diploma or Degree in Business, Communications or Marketing, or equivalent experience.
• 3-5 years of hands-on experience required with developing proposals, including editing and formatting preferably for engineering, architectural, scientific, or other consulting firms.
• Proficient in Microsoft Office Suite, with strong MS Word and PowerPoint skills.
• Adobe Creative Suite software an asset (InDesign (in particular), Photoshop, and Illustrator).
• Knowledge of SharePoint and CRM tools.
• Commitment to quality work products, with high attention to detail.
• Self-starter with strong work ethic and ability to manage workload efficiently.
• Proven ability to work well under pressure and handle multiple tasks successfully.
• Excellent written, verbal, and interpersonal communication skills, as well as strong detail orientation, analytical and general business skills, and ability to process information quickly and accurately.
• Working knowledge of engineering, architecture, or environmental consulting field is highly desired.
• Able to handle multiple work assignments concurrently, adhere to strict deadlines, and be accountable for work performed.
• Able to work in a team environment with a variety of personalities, collaborate on assignments and learn from peers.
• Critical and analytical thinking and problem solving, including the ability to "find the answer" to assist team members and internal clients.
• Strong writing skills with the ability to edit and proofread documents for grammar, clarity and ensure client requirements are met.
• Must have the ability to identify, separate and delegate work tasks and prioritize them in relation to the overall proposal production activity and deadlines.
