Summary

Reporting to the Lead, Business Admin PDG, the Coordinator, Business Planning provides administrative support to the Project Development Management team by supporting efficient business processes, record keeping, financial and operational analysis. Responsibilities

  • Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures
  • Manage departmental digital filing system and records management (including documents, images, data, maps etc.) and administration of SharePoint and digital collaboration sites
  • Lead workflow and schedule for both departmental and interdepartmental requirements to ensure group deliverables are coordinated, collated completed and delivered within set deadlines
  • Facilitate administrative coordination for the department including, for example, monthly timesheet administration and compliance reporting
  • Maintain Project Development's contacts list and Team's site
  • Prepare and process the department expense and cost reports and reconcile corporate credit card transactions; provide support for general budget and monthly cost reports including budget forecasting and variance tracking with the Lead, Business Admin
  • Accurately assemble records and analyze data relevant to department reporting requirements (e.g., employee time sheet information, safety statistics, Delegation of Authority, including annual Delegate Acknowledgements, etc.)
  • Handle assignments involving highly confidential matters with utmost care and attention
  • Build and handle relationships with a variety of functions including health and safety, project management, operations, engineering SERA, and finance and accounting


Qualifications

  • Minimum college diploma or equivalent experience
  • Three to five years of experience in administrative roles with a minimum of 3 years in a senior administrative capacity in a fast-paced environment
  • Strong demonstration of sophisticated writing, editing and communication skills in English; Spanish language skills are an asset
  • Outstanding Word, PowerPoint and Excel skills; proficient in Outlook, Teams, MS Project, Visio and SharePoint
  • Highly service minded with ability to maintain professionalism and a level of integrity, discretion and tact while handling confidential information
  • Outstanding organizational and planning skills; possess high degree of initiative to efficiently self-manage and prioritize tasks under minimal direction
  • Proficient at coordinating schedules, international travel, meetings, conferences, and events
  • Significant experience in event planning/coordination
  • Strong attention to detail and process driven with a strong understanding of business processes
  • Strong interpersonal skills and able to take the initiative to liaise with other departments and/or external sources and ability to support multiple senior clients and teams
  • Collaborative and cooperative teammate who can work with others and understand how to get things done through both formal and informal channels to achieve objectives
  • Ability to thrive in a fast-paced, dynamic and at times challenging work environment
  • Basic level understanding of various filing and document management protocol and their relevant application to the business
  • Basic understanding of budgeting, expense account management and purchasing standards and practices
  • Able to build and nurture positive relationships
  • Strong leadership skills, with the ability to communicate efficiently
  • Able to conduct strategic integration, with outstanding problem solving, planning and prioritization skills
  • Motivated and willing to learn
