IT Procurement and Office Administrator

An opportunity has become available for an IT Procurement and Office Administrator to join our Johannesburg office. We invite applications from suitably qualified and motivated candidates to fill this role. The successful candidate will form part of our Information Technology team and will report directly to the IT Manager.

Description:
The successful candidate will form an integral part of the SRK Consulting (South Africa) Information Technology team, based in our Johannesburg office. The incumbent will be responsible for supporting the IT department with end-user support, procurement of IT equipment and software, asset and inventory management, and general office administration. The role ensures that IT purchasing, supplier management, and quality processes are carried out efficiently and in line with SRK policies and standards. This is a full-time, office-based position. Applicants are required to meet the minimum requirements outlined below.

Experience and Qualifications
  • Have a relevant qualification in Information Technology or similar;
  • At least 3-5 years IT procurement or a similar purchasing role (hardware, software, and consumables).
  • Excellent understanding of PC/Notebook architecture and the relevance of components.
Duties and Responsibilities includes:

User Support
  • Liaise with staff on their hardware and software needs and advise on suitable hardware as approved by SRK
  • Ensure that the Support Team is aware of hardware allocation, special hardware and software requirements.
  • Ensure that machines that are purchased are fit for purpose, depending on the technical role of the machine assignment.
  • Allocation of new and replacement Assets
  • Conduct induction training.
  • Basic End-user support
Suppliers
  • Sourcing correct suppliers as required
  • Coordinating equipment to suppliers for repair and monitoring SLA's
  • Ensure suppliers are registered in the Quality System.
Software
  • Maintain Software Library
  • Maintain contract information in relevant systems
Purchasing
  • Obtaining valid quotes for Capex purchases with the correct spec of hardware
  • Order consumable stock and order when appropriate order points are reached
  • Ordering of equipment and Software in conjunction with the I.T. Manager
  • Check equipment and software is procured and received correctly.
Invoicing
  • Check requisitions are issued correctly,
  • Process requisitions on SRK's ERP System for I.T. Manager approval
  • Check that Invoicing is completed timeously.
Inventory / Assets
  • Maintain I.T. Asset inventory and align to Finances Asset register
  • Manage consumable stock and maintain adequate safety stock of required consumables.
  • Ensure that SRK Standard Hardware is relevant and source best pricing
  • Assist with Asset disposal and insurance tracking
Quality Administrator
  • Ensure Policies and Procedures adhere to SRK Quality standards
  • Liasson to Quality department on behalf of IT and communicate requirements to the IT department
  • Assist with the resolution of Quality Non-Conformances if any arise.
Office Administration
  • Assist IT Manager with projects by actioning assigned tasks
  • Making travel arrangements
  • Arrange IT events
  • Arrange courier services when required
  • Assist with general Office Administrative tasks
