Summary

The document control group (DCG) works closely with the document manager and the project support group (PSG) to provide sufficient and experienced document management resources to support the project efficiently and effectively with respect to cost, schedule and both quantity and quality of service.

Responsibilities:

The Lead Document Controller is responsible for:

Customizing Internal procedures if required. Developing project specific procedures as required. Implementing new procedures and processes.

Attending engineering meetings ensuring DCG is aware of project priorities and schedules and attending Vendor/Contractor meetings ensuring Vendor/Contractors are aware of Hatch requirements for Vendor/Contractor document submissions.

Assisting the Document Manager in rolling out new functionality when required

Regularly auditing data to address gaps in knowledge or skills and register the audit in the Audit Document Management Check List

In cooperation with the Document Manager and Project Systems Manager, planning and coordinating the documentation handover as agreed with the Client

Setting up processes to track and expedite reprographic services as required

Ensuring processes for document and data transfer are documented and DCG trained

Qualifications and Experience:

3-7 Years of experience in Electronic Document Management Systems and document control systems

This role requires exceptional communication skills, both oral and written.

Analytical skills and Client engagement skills. The general environment can be highly stressful due to resource fluctuations and tight deadlines and requires one to manage multiple tasks and priorities simultaneously

Thorough understanding of the requirements of tracking vendor data and engineering processes, and how these interrelate with other areas of project activity

Ability to interpret, write and apply complex procedures

College degree or diploma with advanced skills and experience in using Microsoft Office Suite, Adobe Acrobat and File Management tools, e.g. Explorer, WinZip, CD and DVD writing tools etc.

Must be able to travel to site and remote offices as required.
