Job Description

Provides generalist support to the Corporate HR team. Responsible for the coordination of HR processes, benefit administration, and payroll data entry. Ensures that established policies, practices, and procedures are followed when completing tasks. Responsible for answering day to day questions regarding pay, policy, benefits, and other employment matters.

Job Responsibilities

Provides HR Generalist support to Toronto and Netherlands offices:

Act as the first point of contact for all day-to-day employee questions/inquiries/concerns.

Regularly update and maintain the HRIS system with semi-monthly processing of employee changes such as promotions, salary adjustments, transfers, leaves, terminations, etc. systems include JD Edwards, Solium, Manulife, Canada Life, and SuccessFactors, etc.

Assist with Onboarding new hires, scheduling new employee orientation, collection of documents and submission to payroll team for processing, as well as initiate offboarding processes.

Prepares offer letters, employment verification letters, and other related documents.

Administers benefits, including enrollment, claims issues, reporting, auditing, and communicating benefits information to employees.

Compiles, analyzes, and prepares standardized or customized reports on a routine or ad hoc basis as requested from the Senior HR Manager.

Monitors the Corporate HR inbox and responds to general HR inquiries regarding policies, procedures, and HR related concerns.

Manages the approval process for HR specific benefit reimbursement policies, as well as maintains and audits employees' vacation entitlements.

Performs administrative duties including but not limited to employee file organization, arranging team lunches or employee engagement events, and other record-keeping systems.

Assist in HR projects as required, which may include assisting in policy and program development and implementation and process improvements.

Job Responsibilities

Responds to government or third-party enquiries regarding employment or termination of employees.

Assists with immigration matters and relocation assignments as required.

Assists with Pension administration including coordination of semi-annual meetings and employee education sessions.

Process payroll on a bi-monthly basis (includes vacation, bonuses, pay increases or changes, terminations, new hires, temporary staff documentation, leaves of absence, etc).

Ensure communication between HR and Payroll in non-routine matters relating to pay, bonuses, tax, etc.

Works closely with the Payroll Analyst and HR Business Partner to ensure payroll processing documents are completed accurately and in a timely manner, as well as follows up on and answers employee payroll related inquiries.

Supports HR through the provision of analysis, interpretation and reporting of operational HR data to support HR and management decision-making.

Benchmarks best practices in HR, quality improvement measures and special projects will be key components of the role.

Other, general support as required:

Provides assistance through proactive follow up of on-going matters.

Receives sorts and distributes incoming mail.

Anticipates needs, performs routine and non-routine tasks, and handles high-level or confidential correspondence; ensures accuracy and quality of all work completed.

Liaises with internal and external contacts and responds to information or material requests

Assist HR department with other ad-hoc requests.

Works with the Sr. HR Manager and HR's leadership team to respond to organizational needs for information.

Scope of Responsibility & Complexity

Problem resolution is within established guidelines and procedures, requiring the use of judgement to determine which of many methods are applicable in any given situation.

As self-directed as possible to achieve the above tasks. But seeks assistance from others when dealing with unfamiliar or problem situations.

Proceeds on own initiative but supervisor is available to provide direction in the amendment / development of new practices and procedures. Understands how priorities and allocation of time need to be adapted to meet own deadlines and/or those of the broader team.

Work is reviewed for the attainment of objectives, adherence to policies, procedures, and timelines.

Education and Experience

College diploma or Undergraduate degree, preferably in human resources or business, or training equivalent to 3 years of study.

2-4 years of HR experience, including generalist responsibilities; Experience in benefits, pension, payroll, and HRIS particularly is an asset.

Skills

Strong computer skills including advanced knowledge and competency with Microsoft Excel, Word and Power Point.

Flexible, fast learner that can come up to speed on a problem in an unfamiliar area to start adding value quickly. Ability to problem-solve and/or ask for assistance, when required

Ability to handle significant variations in workload in a fast-paced environment.

Strong communication skills: ability to explain and present complex information in a straightforward way.

Well organized, works well independently and in team settings.

Ability to handle sensitive and confidential information and issues with tact and diplomacy.
