The Kinross Corporate Head Office is located in downtown Toronto and supports Kinross' operations and projects worldwide. Corporate functions include Finance, Procurement, Health & Safety, Human Resources, IT, Investor Relations, Exploration, Geology and Mine Planning, among others.

Job Description

Acts as the first point of contact for the company and provides administrative support across the corporate head office. Handles the flow of people through the business in an upbeat and positive manner and ensures that all receptionist responsibilities are completed accurately and delivered with high quality and in a timely manner.

Job Responsibilities

To provide professional reception services to Kinross' Global Corporate Office, located in downtown Toronto
• Serves visitors by greeting, welcoming, directing and announcing them appropriately using Kinross' visitor policy, sign in sheets and badges
• Responsible for opening/closing the office
• Responsible for answering, screening and forwarding any incoming phone calls while providing basic information when needed
• Responsible for Screening and forwarding all voicemail messages left on the main office number
• Keeps reception area organized. Ensure a clean and professional looking reception area and ensure a welcoming and attractive environment for guests
• Responsible for distributing, maintaining and reconciling petty cash, as required

Ensure compliance with all company policies, procedures, and guidelines
• Assists with executing the processes in place for servicing of legal documents
• First point of contact to assist in emergency situations
• Defuses and responds to escalated situations by contacting appropriate staff and following appropriate protocol
• Assists HR in termination process in a confidential manner
• Active member of the Joint Health and Safety Committee
• Liaison with property management to ensure work permits, proper certificates and insurance information for outside vendors are in place

Responsible for initiating and directing inquiries accordingly
• Submit office maintenance issues/requests using Angus ticketing system and follow-up if required
• Maintains and issues building security access cards as required for staff and guests on behalf of the Security Department
• Initiates requests to IT for internal technical issues

Under the direction of the Office Manager is responsible for performing the following Administration tasks
• Approves and allocates catering and maintenance related invoices
• Prepares internal and external correspondence, as required upon request
• Responsible for updating and posting telephone lists for the corporate office
• Schedule and maintain boardroom bookings
• Assist with maintaining and distributing security access cards to employees, vendors and contractors
• Monitor security cameras
• Assist EA's with catering for board meetings, lunches and corporate events
• Hosts employee birthday celebrations/ introduction of newly hired employees
• Collects and distributes reading material for the SLT
• Coordinates transportation bookings for staff and guests
• Other duties as required

Education and Experience

• High school graduate with some related post-secondary training
• Professional with a minimum of 5 years reception experience
• Cisco IP 7962 telephone system
• Working knowledge of office equipment and computer programs (including Word, Excel, and other Office software)
• Maintains a level of professionalism and complete confidentiality on business related matters
• High attention to detail
• Must have customer focus and demonstrated interpersonal skills
• Strong oral communication skills
• Ability to multi-task under pressure
• Able to work in a fast paced environment and manage competing demands
• Quick learner
• Excellent customer service skills, including excellent telephone manner
• Ability to organize and prioritize duties
• Team player
• Highly flexible

Working Conditions

• Must be able to sit for long periods of time between scheduled relief
• Adheres to regular scheduled work hours daily, and regularly scheduled break times
• Flexible to work within the hours of 8am-5pm
