New Afton Mine

Situated 10 kilometers west of picturesque Kamloops, British Columbia, the New Afton Mine is an underground gold and copper producing site.

Kamloops is a city of 90,000 people, located 350 kilometers east of Vancouver. About the Role

Schedule: 5x2, Monday – Friday

Position Reports To: Senior Project Manager

Position Overview: The Project Administrative Assistant is responsible for assisting the Capital Projects department with administrative and document control support. The ideal candidate anticipates their team’s needs, takes on tasks enthusiastically, consistently delivers high quality work and provides excellent customer service. This is a full-time, temporary position for a period of 18 months.

Key Responsibilities

  • Assisting the document controller to ensure documents are stored and searchable for remainder of the mine life;
  • Ensuring overall organization, management and maintenance of Projects documents and records;
  • Ensure documents are up-to-date and available for use;
  • Review and edit/proof read documents and memos from the Projects team before they are forwarded to outside agencies or before storage;
  • Receiving and sending documents and correspondence to contractors and vendors and storing this information so that they can be recalled easily;
  • In charge of the proper storage and organization of engineering, procurement, construction, as built documents as they come in;
  • Processing SAP requests for the Projects team as required;
  • Complete admin assistant tasks for the Projects team including organizing travel, organizing meetings with various stakeholder groups and taking meeting minutes as well as other common administrative tasks as needed;
  • Tracking, updating and organizing project documents, and other records as required by the department;
  • Compile, edit, and format project reports, presentations, and other written communication;
  • Recording, updating, and filing of meeting minutes;
  • SAP data entry, invoices, requisitions, notification and other work documents;
  • Filing pertinent information;
  • Other related tasks and administrative support, as required.


Qualifications

  • Grade 12 Diploma or equivalent required;
  • Valid Driver’s license with access to personal transportation;
  • Administrative Diploma, 3+ years’ experience in an administrative role and/or a combination of applicable education and experience;
  • A minimum of 1-year records management experience;
  • Demonstrated proficiency in Microsoft Office including Word, Excel, Access, PowerPoint and Outlook;
  • Demonstrated proficiency in SharePoint with a minimum of 6 months experience;
  • Project document control or construction document control experience is an asset;
  • Positive attitude and driven to provide exceptional customer service;
  • Excellent communication and interpersonal skills;
  • Demonstrated high efficiency, and can work with minimal direction and as part of a team;
  • Experience working with SAP is considered an asset.


Other Requirements

Candidates will be required to participate in a comprehensive qualification process, including:
  • Successful completion of pre-placement functional screen
  • Provide proof of a valid Class 5 driver’s license
  • Demonstrate eligibility to work in Canada
  • Provide confirmation of valid educational requirements


Compensation

A competitive salary, performance bonus plan and benefits will be provided. This is not a camp operation and therefore the successful candidate will be required to relocate to the Kamloops area or travel and accommodation will be the responsibility of the successful applicant.
