About the role

We are looking for a Divisional Secretary to join the Process Engineering team. This role will support the General Manager along with assisting the greater Process Engineering division.

Reporting to the General Manager Process Engineering, your role will entail:
  • Provision of administrative and secretarial services to the division and leadership team
  • Effective management of the General Manager's calendar by developing an understanding of the operation of the division and the needs of the client group
  • Booking travel and preparing itineraries site visits and international trips. Organising meetings, events & workshops & conferences
  • Working effectively with other administrative roles to ensure efficient and effective operation and communications within the division
  • Divisional communication and engagement activities and processes such as State of the Nation quarterly updates, collating business presentations and preparation of correspondence, reports and agendas
  • Raising purchase orders and processing invoices for payment. Managing credit card expense reports
  • Designing and managing divisional events such as Christmas parties, leadership dinners, service award functions

What you'll bring
  • A commitment to the safety of yourself and your team
  • Experience as a Department Secretary
  • High level of attention to detail
  • Excellent written and verbal communication skills
  • The ability to problem solve, prioritise, multi-task and have a flexible working approach
  • Advanced MS office skills, MS Outlook, Word and MS PowerPoint
  • Certificate in business administration or similar whilst not essential, will be well-regarded
